Docs Your Brand & Team

Team and Users

Control who on your team uses Deepwell, and who has admin access. Only an MSP Admin can control the team.

There are two roles. An MSP User can build Visualizations and Reports, set up a Schedule, and read Report Snapshots. An MSP Admin has all of those permissions plus these tasks:

  • Control Connections and run the PSA synchronization.
  • Invite the contacts of a client.
  • Map Organizations, approve a mapping, and remove a mapping.
  • Control the team, and set up your custom domain and your brand color.
  • Make and edit Data Sources.
  • Run a Report immediately.
  • Pause, resume, or delete a Schedule of a Report.
  • Archive or restore a Report.
  • Deliver a Report Snapshot, or remove the delivery of a Report Snapshot, and see the Review queue.
  • See the Dashboard summary and the Get Started checklist.
  • Set the AI language rules and the tone of your MSP.

How to add a User to your team

The Team page with two MSP Admins, their email addresses, roles, and edit and delete actions.
Team: your MSP Users and their roles. Add User is at the top right.
  1. Go to Team (My Users), in the Admin menu.
  2. Select Add User.
  3. Type the first name, the last name, and the email address of the User. Use the email address of their Microsoft account.
  4. Set the admin access to on or off.
  5. Save the record.

The User then signs in with their own Microsoft account and that email address. Let them know that their account is ready.

Deepwell keeps the name, the email address, and the telephone number that you type. See the Privacy Policy for how Deepwell uses account data.

How to change or delete a User

Open the record of a User to change their name, their telephone number, or their admin access. Delete the User to remove all their access to Deepwell.

Language and tone (AI settings)

An MSP Admin can set Language Rules in Admin → Settings, instructions that control the tone and the words of the AI when it writes text for your MSP. For example, a rule can tell the AI to say "partners" rather than "customers".

The Language Rules are global and apply to each Report, so you set your tone once and it stays the same across all the text that Deepwell writes for you.

You can leave the Language Rules empty, in which case Deepwell uses a neutral default tone. That's a permitted configuration, not an error.

Deepwell keeps each version that you replace. Open Version history to read them, copy text from an earlier version into your draft, or go back to one completely.
